Events and Communications Coordinator – Position Closed

The Center for Strengthening the Teaching Profession is a small but mighty non-profit organization. CSTP provides professional development, project management, research and advocacy that is responsive to the evolving needs of educators and students while prioritizing work that serves those furthest from educational justice. We work with teachers, administrators, districts and state level organizations to build collaboration and partnerships so that educators have access to responsive, ongoing, relevant training and resources based on current best practices in order to meet the evolving needs of their students and communities so that all students have an educator in front of them who values their full humanity.  

The Position

The Events and Communications Coordinator is responsible for overseeing the logistics and coordination of 100+ meetings and events each year, and creating and releasing communications through email, social media and website. 

The Events and Communications Coordinator ensures that all events and communications fall within the Board’s established vision, policies, strategic focus, priorities, and general scope of programs and budget. They collaborate with colleagues, educators, businesses, foundations, government officials, nonprofits and supporters to share information, provide partnerships and cross-promote events to elevate and celebrate an educator audience. They are knowledgeable and comfortable communicating through popular social media platforms, in email, by phone and through our website. They are responsible for coordinating 100+ meetings and events annually, both in-person and online and overseeing all related accounting and reporting. They will also assist the team in clock hour procedures and policy as well as other administrative tasks as needed. 

The Events and Communications Coordinator will join our team in our efforts to become a leader in anti-racist and equity-focused leadership and emerging practices throughout the education system. 

Responsibilities

  1. Communications
    • Use positive, asset-based language to communicate orally or electronically with colleagues, clients and partners
    • Strategize with the CSTP team and leverage communication tools to recruit, promote and advertise current projects, services and information
    • Update content on WordPress websites 
    • Create and schedule posts for Twitter, Instagram and Facebook on behalf of organization
    • Manage and utilize website and social analytics to update website and send communications effectively
    • Write and send emails and newsletters through Constant Contact or similar service
    • Create, edit and upload videos on YouTube
    • Develop policies regarding commenting and respond to public comments on behalf the organization in online platforms
  2. Events
    • Facilitate and provide technical assistance to participants in online meetings and webinars
    • Develop estimated budgets and design scope of work with the Executive Director
    • Follow internal and external travel policies to arrange travel for staff and participants
    • Negotiate contracts with vendors within a set budget including but not limited to venue, catering, audio visual, and travel
    • Set-up and maintain meeting registration for both in person and virtual events
    • Travel to meeting location, oversee the registration area, set-up room with audio-visual equipment and materials, and provide exceptional customer service to guests and staff in attendance
    • Oversee the timeliness and accuracy of payments to vendors and participants
    • Provide data reports regarding meetings, including quantitative and anecdotal data, using multiple resources such as registration and evaluations
  3. Administrative & Accounting 
    • Prepare template forms for invoicing, stipends, travel reimbursement, etc.
    • Oversee the timeliness and accuracy of payments to vendors and participants
    • Process and prepare clock hour forms while adhering to state and internal policies

Minimum Qualifications

  • Ability to work some weekends and evenings
  • Must be able to travel to provide onsite event/conference support, mostly within Washington state
  • Ability to work with, learn from, communicate with and support diverse individuals and groups
  • High School graduate or GED equivalent and three (3) years of work history in positions with a similar or related skill set
  • Ability to lift 40 lbs.

Minimum Qualifications

  • Video editing skills
  • Knowledge of current Washington State per diem policies
  • Experience working in nonprofit or state government sector

Knowledge, Skills and Dispositions

  • Self-motivated to complete independent work and projects
  • Possess strong communication and organizational skills to collaborate with CSTP team, clients and partners in a timely manner, both in person and using technology
  • Flexibility and willingness to adapt to all new tasks 
  • Interest in soliciting and planning future projects and opportunities
  • General passion for teaching and all roles in the education profession  
  • Type 50 words per minute
  • Experienced with creation and editing of Microsoft Word, PowerPoint, Excel, Google Docs, Google Sheets, Google Presentation, Canva and Google Sites; and creating and posting in YouTube, Facebook, Twitter, Instagram, WordPress and Zoom

Working Conditions

The Center for Strengthening the Teaching profession does not have a brick and mortar office. Day-to-day work and meetings are virtual but you must be able to travel to various locations for meetings, sometimes overnight, for professional development facilitation and other responsibilities. CSTP will work with employees to ensure they have the technology and resources required to perform their job.  

There may be moderate physical demand, and employees may occasionally be required to lift and carry objects and supplies, walk short distances, or climb stairs as needed.

Compensation

The organization’s work is ever-changing and contract-based, therefore all employment letters are offered for one year or less at a time and salary will be dependent upon education and experience ranging from $75,000 to $85,000. 

Work is primarily done during “regular” business or school hours; however, due to the virtual nature of our day-to-day work we are able to offer flexibility in work schedule as needed.
